Respond to Data Subject Access Request’s (DSAR’s) quickly and cost effectively with Sky Discovery’s DSAR solution.

With data complaints on the rise, Data Subject Access Requests (DSAR’s) are becoming ever more popular.  Many organisations don’t have a system and process in place to respond to requests and the prospect of having to do so can be overwhelming. These requests can put great strain on businesses as they can become overburdensome when having to cope with expanding data volumes. With just a one month deadline to respond, you need to act fast otherwise you’re faced with hefty fines.

By employing the suitable technology early on, this process becomes a lot more manageable.  It allows you to respond quickly and with confidence that the information handed over is accurate, and reduces the risk of inadvertently providing information which should not be included.

We can break down the process into 4 simple steps:

Step 1: Organise the data

Once all the source locations have been identified and collected, the data is ingested into our software solution which extracts all the data and puts it in a structured format ready for review.

Step 2: Search & Filter

Using the text index created at the ingestion stage, data can be searched using keywords which relate to the individual (the data subject), isolating all the relevant information and suppressing everything else.

Step 3: Review & Redact

The refined set of data can now be reviewed. Using analytics technology the data can be grouped together saving time and cost on the review process.  Email threading allows emails to be grouped together and reviewed by conversation thread.  Similarly, other file types, such as Word documents and PDF’s can be grouped into near duplicate groups so like documents can be reviewed together.

It will also be necessary to redact parts of the documents such as personal information relating to other individuals, commercially sensitive and legally privileged information.  Within our system known names, email address and other personal identifiable information can be searched and highlighted, which can then be easily redacted.

Step 4: Produce

The final step is to provide the data to the Data Subject.  On conclusion of the review stage, the final document set can be exported in native or PDF format ready to be delivered.
